Position Description:

As an Administrative Associate in Emergency Medicine you will perform routine and advanced administrative duties requiring considerable skill and in-depth knowledge of organizational policies and procedures Under the direction of the department leadership.

Primary Functions

  • Manage calendars, coordinate meetings, and prepare pertinent agendas or materials. Create reports, presentations, minutes, letters, memos, and forms.
  • Anticipate and initiate action regarding administrative functions while coordinating and leading projects.
  •  Coordinate and perform status reports, project reports, and other types of information regarding special projects.
  • Resolve complex inquiries relating to support and department issues.
  • Create complex workflow charts, spreadsheets, databases, macros, and templates.
  •  Serve as key point of contact for a variety of audiences and independently compose e-mail and other correspondence, which may contain confidential information.
  •  Conduct research, compile data, and prepare presentations and reports for leadership review.
  •  Create complex workflow charts, spreadsheets, databases, and templates.
  •  Proofread and format documents to ensure accuracy.
  •  Coordinate schedules, meetings, appointments, and travel itineraries and related arrangements.
  •  Compile data and information from multiple sources to prepare reports.
  •  Process payment requests, requisitions, and invoices
  •  Assist in monitoring expenditures.
  •  Other duties as assigned to include distribute mail, screen telephone calls, coordinate travel.

 

Knowledge – Skills – Abilities

Knowledge of computers, clerical procedures, customer service standards, collaboration, and information management. Organization, time management, interpersonal, communication, and problem solving skills.

Position Requirements:

Appropriate experience may be substituted on equivalent basis 

Minimum Required Education: Associates degree
Minimum Required Experience: 3 years
Preferred Education: Bachelor’s Degree
Preferred Experience: 5 years of experience
Field: Administrative Support, Executive Support
