Job Description
Direct Supervisor:  Director of Middle School Programs
Full Time Equivalent: 1.0 (full year – not an academic calendar year)
Work Hours:  8:30 a.m. to 5:00 p.m. Monday through Friday - Additional flexibility may be needed for community outreach, events, meetings and other special projects.
Location: Patrick Marsh Middle School, Sun Prairie, WI.
 
PROGRAM GOALS AND OBJECTIVES
The Schools of Hope Tutor Coordinator / 21st Century Careers Development Specialist will be responsible for volunteer recruitment and coordination at Patrick Marsh Middle School. The Schools of Hope portion of the position accounts for about 50% of the time recruiting and interviewing volunteers; maintaining relationships with teachers and other school staff, and engaging students to work with a volunteer academic tutor. The 21st Century Careers portion of the position accounts for about 50% in preparing and delivering after-school programming that provides middle school students with exposure to their interests and skills and helping them explore pathways to college and careers. During the summer, 21st Century Careers offers internships to students as an extension of the program called Project REACH. This position also helps to facilitate academic enrichment sessions; work place etiquette; life skills; college and career speakers and field trips. This position will also work closely with internship supervisors and helps to plan a celebration of the students who successfully complete their internships.
 
The Coordinator may also supervise an AmeriCorps member and/or work closely with an AmeriCorps member. Supervision and support of volunteers is a responsibility that will require this person to be comfortable in a supervisory role. The Coordinator is responsible for maintaining the data entry of volunteer records at the school; updating active and inactive volunteers and tracking the students who have been served by the programs. Monthly and semester reports must be compiled by the coordinator.
 
ESSENTIAL DUTIES AND RESPONSIBILITIES
The Schools of Hope Responsibilities
  • Work individually and as part of a team to recruit and screen volunteer and work-study tutors.
  • Supervise one or more AmeriCorps members.
  • Assist with the planning and implementation of tutor training sessions.
  • Ensure that all volunteers placed at your site receive proper orientation and training.
  • Match volunteer tutors one-on-one (or in small groups as appropriate) during the school day and after school based on the tutor’s area of academic strength and the student’s academic need(s).
  • Place volunteers with other after school academic support programs as needed.
  • Maintain site specific program database, complete monthly, annual, and other reports as required by supervisor, and distribute and collect program surveys.
  • Provide ongoing support of tutors and monitor tutor-tutee matches.
  • Hold monthly or bi-monthly support meetings with volunteers. Disseminate best-practice information to volunteer tutors through newsletters, email, web portal, etc.
  • Assure timely communication of program updates and delivery of newly developed materials to volunteers.
  • Ensure that the efforts of volunteer tutors are adequately recognized.
  • Track volunteer progress and evaluate volunteer performance.
  • Publicize tutoring services that are available to teachers, parents, and others as appropriate.
  • Work with school and community based organization staff to disseminate information to the parents of underachieving students about available educational and recreational services.
  • Meet at least once per month with school Principal, assistant principal, or principal’s designee to discuss any concerns or issues and maintain an effective work plan for meeting student needs.
  • Create and maintain a system for sharing information among school staff and other key service providers about students being assisted and the services they are receiving.
The 21st Century Careers Development Responsibilities
  • Plan after-school programming that will bring middle school students together in a group setting to learn more about their interests and skills; dreams and aspirations and linking those to pathways to careers and college.
  • Plan age-appropriate activities. .
  • Work closely with school staff to encourage students to attend the 21st Century Careers group.
  • Monitor attendance and complete monthly reports of students served.
  • Plan field trips and guest speakers to enhance the importance of academic achievement; high school graduation and post-secondary pathways. 
  • Screen students who are interested in a summer internship and ensure they are age-eligible and an ideal candidate for for  summer internship placements.
  • Contact businesses to help establish internship locations and supervisors.
  • Contact businesses to help conduct mock interviews for internship.
  QUALIFICATIONS 
  • Bachelor’s degree preferred.
  • Education background or experience in education, community organizing, volunteer coordination, or a related field.
  • Must be able to pass a criminal background check (note that a record of arrest or conviction does not automatically prohibit you from being employed for this position).
  • Interest in developing high quality academic and learning opportunities for youth.
  • Exceptional understanding of the needs of students in 6th, 7th and 8th grade.
  • Must be goal-oriented, problem solver, and solution driven.
  • Must have strong time management skills and the ability to balance multiple tasks.
  • Must have proven ability to work both independently and as part of a team.
  • Must demonstrated ability to forge partnership with a wide variety of organizations/institutions.
  • Strong commitment to the mission of the Urban League and to working with youth and families from diverse racial/cultural populations.
  • Strong written, presentation, and public speaking skills
  • Computer experience including Microsoft Word, Microsoft Excel, and internet navigation required.
  • Knowledge of the educational support service systems available to middle school students in Sun Prairie Area School District public schools.
  • Ability to serve as a liaison between school staff and faculty and the staff of community based programs.
  • Must be able to travel around the Greater Madison community in own personal vehicle.
