Job Description

MISSION & VISION

POSITION GOALS & OBJECTIVES

This position leads the recruitment, screening, training, management, and retention activities of the Urban League of Greater Madison's volunteer programs. This includes a engagement of over 600 volunteers annually including:
  • Volunteer Tutors for the Schools of Hope Middle School Program, a partnership of with United Way and 2 area school districts) to provide school-based academic tutoring.
  • Providing staffing support to the two ULGM Volunteer Auxiliaries – the ULGM Young Professionals and the ULGM Guild.
  • Event Volunteers for the ULGM signature events including the annual Urban Cabaret, Unity Picnic, MLK Youth Recognition Breakfast, and Diversity Summit as well as other special programs and events such as the summer STEAM Camp and Spring Break Game Design & Coding Day.
Successful candidates must be engaging, hardworking, and a ‘roll up your sleeves’ kind of person who will enthusiastically carry out all goals and objectives identified in this position description. It is important that this person be committed to the mission of the ULGM and its multiple community partnerships.  This person must believe in the value of volunteers and want them to have a great experience. Successful candidates must also be comfortable with public speaking and building collaborations with community organizations, businesses, colleges, faith-based organizations, and other service and civic associations. 

ESSENTIAL DUTIES AND RESPONSIBILITIES
General Volunteer Management Duties:
  • Develop, implement, monitor, and evaluate a comprehensive annual volunteer recruitment and management plan.
  • Consult with supervisor, ULGM Executive Management team and other staff to determine organizational needs for volunteer services and create volunteer job descriptions based on these needs.
  • Develop and maintain policies, procedures, goals, and objectives related to recruitment, screening, orientation, training, support, and recognition of volunteers.
  • Interview, screen, and refer volunteer applicants to appropriate departments.
  • Coordinate and help implement community relations and recruitment activities including, but not limited to:
    • Conducting telephone and face-to-face interviews
    • Working with agencies that assist with volunteer recruitment.
    • Identifying new and strengthening existing community partnerships
  • Monitor and evaluate the effectiveness of volunteer services utilizing instruments such as surveys, interviews, and other outcome indicators as indicated in various program proposals and service contracts. Compile results and report to supervisor.
  • Ensure volunteer management systems and data entry is accurate and in alignment with industry best practices.
  • Promote volunteer opportunities through email, websites, social media, newsletters, community & campus events, etc.
  • Serve as point of contact for all volunteers with the Urban League.
Support for ULGM Auxiliaries and other ULGM programming:
  • Collaborate with the Young Professionals Career Advancement Program Coordinator
  • Co-facilitate the ULGM Young Professionals/RAMP program advisory team
  • Provide additional staffing support for the ULGM’s two auxiliaries – ULGM Young Professionals and ULGM Guild
  • Participate as a primary member of the ULGM Events Team, which is responsible for planning all major ULGM events
  • Develop marketing materials, including flyers, gear designs, and monitor slides, for ULGM programs as assigned
Additional Learning Team Support
  • Manage in office and school-based work study programs with UW Madison and Madison College, including supervising in office work study employees
  • Train Learning Team members on new/emerging volunteer processes
  • Monitor and manage Learning Team volunteer data in both the MIS and MMSD volunteer tracker
  • Regularly audit volunteer records
  • Contribute to Learning Team meeting agendas and co-facilitate Learning Team Meetings
  • Manage partnerships with Morgridge Center, ESOH, Achievement Connections, and other sources of volunteers
  • Assist Director of Middle School Programs with additional tasks, as specified
QUALIFICATIONS
  • Bachelor's degree preferred.
  • Prior paid work experience in volunteer management, marketing, public relations, community organizing, and/or service learning is highly desirable.
  • Must be able to pass a criminal background check (note that a record of arrest or conviction DOES NOT automatically prohibit you from being employed for this position).
  • Strong commitment to the mission of the Urban League of Greater Madison and to working to strengthen families from diverse racial/cultural populations.
  • Must be goal oriented, problem solver and solution driven.
  • Must have strong time management skills and the ability to balance multiple tasks.
  • Must have proven ability to work both independently and as part of a team.
  • Must demonstrate ability to forge partnership with a wide variety of organizations/institutions.
  • Computer experience including Microsoft Word, Microsoft Excel, Microsoft Outlook, and Internet navigation required. Experience with desktop publishing and presentation software a strong plus.
  • Must be able to travel around the Greater Madison community in own personal vehicle.
  • Unwavering commitment to quality programs and excellence in organization and project management with the ability to achieve strategic objectives.
  • A team player, who can interrelate and operate effectively with peers and other associates within a collegial, yet demanding, work environment
  • Excellent verbal communication skills with impeccable writing and presentation skills.
  • Strong leadership ability, including management, strategic and analytical skills required.
  • Familiarity with and comfort using social media.

$45,000-48,000 per year
