Legal Assistant to President

GENERAL SUMMARY
Provides executive support to the Firm President.  Also provides file management and litigation support in general liability, product liability, personal injury and medical malpractice cases.

JOB DUTIES
This position includes, but is not limited to, the following duties:
o    Screen attorney phone calls
o    Keep attorney calendar up-to-date.  Avoid conflicts on calendar with hearings, meetings, conference calls, travel time, etc.
o    Request medical records and medical bills at the direction of nurse
o    Request accident reports, 911 calls, and other investigative information 
o    Follow up on outstanding medical records requests and bills
o    Request updated medical records and medical bills at the direction of the nurse
o    Request employment and tax information 
o    Open files, both physically and in case management software
o    Run conflict checks
o    Accurately file correspondence, pleadings, discovery, and other file information in chronological order
o    Schedule meetings, conference calls, etc.
o    Prepare letters and other miscellaneous correspondence
o    Post expenses
o    Process daily mail
o    Process checks
o    Obtain information on subrogation, liens and unpaid medical expenses
o    Provide updated information to all insurance companies
o    Review liens against medical specials
o    Subrogation lien holder communication

o    Litigation support
-    Communication with clients, defense attorneys/staff, doctors, experts
-    Preparation and file organization of case research, notes, legal documents, etc.
-    Scheduling/calendaring with experts
-    Document and pleading organization
-    Document and deposition summary
-    Schedule depositions
-    Draft answers to or compose discovery
-    Draft pleadings
-    Draft mediation submission
-    Monitor scheduling order deadlines
-    Schedule trial prep and team meetings
-    Assist with trial preparation


 KNOWLEDGE, SKILLS, ABILITIES

o    Knowledge of Microsoft Word, Excel and Outlook
o    Ability to manage and complete multiple tasks
o    Ability to function independently and prioritize assignments
o    Ability to uphold high standards of confidentiality
o    Team player, positive attitude
o    Organized, detail-oriented
o    Work well under pressure
o    Knowledge/experience with Needles Case Management software a plus
o    Position may require staying after hours and weekend hours at times

EDUCATION AND EXPERIENCE
o    Minimum of 3-5 years’ experience in the legal field; personal injury preferred
o    Paralegal Certificate is preferred
