Position Overview:


The Administrative Specialist is expected to have responsibility as assigned for all essential job functions, including support for the Admin Department (Human Resources and Finance). These responsibilities include coordination of the new hire orientation process, assistance with CPI’s Random Drug Screen process, maintaining personnel files, supporting AP invoice processing, providing back up for AR invoice processing, and conducting employee benefit orientations. In this role, the Administrative Specialist is expected to stay abreast of employment law as it pertains to these processes.  In addition, this position will assist in phone/door coverage during CPI business hours.


Essential Job Functions:
  • Assists with phone/door coverage during business hours.
  • Facilitates orientation process for new employees.
  • Conducts employee benefit orientation with new employees.
  • Assists with coordinating the hiring process with department managers to facilitate finding the most qualified candidates, work with staffing agencies, conduct initial screenings of candidates, perform reference checks, and participate in the interview process.
  • Assist with exit interviews and send termination notifications.
  • Assist with HR monthly reporting when necessary (Turnover, Attendance, OT Report, etc.)
  • Assists with mandatory annual government reporting (EEOC, ACA, CMS, etc.)
  • Assist with CPI’s Random Drug Screen process.
  • Maintains personnel files and employee information in compliance with applicable legal requirements.
  • Assists with maintaining CPI’s HERS system.
  • Provides support to CPI management and supervisors and assists employees with HR and Finance related inquires.
  • Provide backup responsibilities for Finance and HR.
  • Support for Accounts Payable (AP) invoice processing.
  • Provide backup for Accounts Receivable (AR) invoice processing when necessary.
  • Responsible for Visa Monthly Statement processing.
  • Follows all CPI cGMP practices, policies, and procedures.
  • Follows all CPI Safety practices, policies, and procedures.
  • Other duties as assigned.

Education/Skills/Knowledge Required:
  • Associates Degree or Technical Degree in human resources, accounting, or related field.
  • 1+ years of experience in human resources, accounting, or administrative role preferred.
  • Well-developed verbal, written, and interpersonal communication skills.
  • High attention to detail and good organization skills required.
  • Professionalism and confidentiality required.
  • Ability to establish and maintain effective working relationships with co-workers and external parties.
