Job Description
Join our growing team! AestheticA Skin Health & Parfitt Facial Cosmetic Surgery Centers are seeking an exceptional administrative staff member for our Middleton, WI location. The Aesthetic Clinic Administrative Assistant serves as a care coordinator and is an essential role within the continuum of client care, working collaboratively with the surgical client care team, as well as non-surgical aesthetic providers. While prior office experience is preferred, those who are reliable, have a great attitude, intermediate computer skills, ambitious and willing to learn are also encouraged to apply! This position is full-time for the right person!

Hours Available Per Week: 30 to 40 Hours
Monday - Friday Shift/Work Days: 8am -5:00 pm Mon - Thurs, 8am -1pm Fri.
Occasional early evening hours for special events or extended clinic schedule

Minimum Requirements:

Education: High School Diploma/GED Equivalent
Age: 18 or older
Reliable transportation
Strong interpersonal skills
Attention to detail
Intermediate computer skills
Comfort with using electronic devices (e.g. iPads)
Phone etiquette
Maintains professional appearance

In this role, you will perform clinical administrative duties using specific knowledge of surgical/aesthetic procedures. Individuals in this position should be able to work in a fast-paced environment and have the time-management and multitasking skills necessary to perform a variety of duties concurrently.

Job duties include but are not limited to:
Welcome and greets all clients and visitors, in person or over the phones
Handle financial transactions and end of day reports
Correspond via email, mail and telephone
Answer telephones and direct calls appropriately
Schedule and confirm appointments established and incoming clients
Register new clients
Maintain client records
Operate office equipment and use software applications such as Microsoft Word and Excel
Facilitate client flow between our clients and our clinicians
Respond to clients, prospective clients, and visitor inquiries in a courteous manner
Assist clients with food/beverage
Help maintain a high standard of client care and comfort
Keep office supplies adequately stocked based on inventory needs
Assist in a variety of other administrative tasks / projects
Maintain appearance and organization of reception area, common areas and treatment rooms
