Covenant Presbyterian Church in Madison, WI is seeking a Church Administrator. Covenant is a vibrant community of faith on Madison’s west side. The Church Administrator is an integral part of the church staff and will work to ensure the operations of the church office support the church’s mission and ministries. You will supervise the office and the use of the church building. You will also supervise the custodial and office staff. You will work together with good people to make a positive impact. This is an in-office position, 35 hours a week. The salary range is $45K to 50K. Covenant also provides health insurance (full payment of a single premium), a retirement plan with up to 8% employer match, and paid time off.
Essential Functions
Church and Office Administration
Manage and coordinate the support of various ministries through requests from staff, Elders, Deacons, and church members.
Manage event scheduling.
Coordinate evening and weekend building use.
Answer the phone and ensure callers receive caring and accurate service.
Maintain the electronic church calendar.
Manage the calendaring of building usage, room set-up, and access to the building by internal/external users.
Maintain the church membership database and assist the Clerk of Session with church files, records and directories.
Prepare and distribute annual reports as required by the Presbytery.
Monitor the office, custodial and maintenance budgets.
Greet and screen office visitors.
Serve as contact person for outside contractors and outside groups.
Maintain confidentiality of church data and personal information.
Responsible for maintenance of office systems and equipment. Researches and recommends specifications for new office equipment. Negotiates pricing agreements with vendors for office equipment, supplies, printing services and maintenance agreements.
Help Custodian order building supplies.
Review and monitor bills/ invoices and approve for payment by the Financial Coordinator.
Endorse checks for deposit and organize checks for data entry on contributions.
With another volunteer present, secure some loose offering for deposit.
Attend Building and Grounds Committee meetings.
Attend staff, training and other meetings.
Deal with requests by people for financial help and decide whether to grant it.
2. Supervision
Supervise the the Custodians, the Financial Coordinator, and the Communications Coordinator, with support from the Senior Pastor. This includes conducting annual performance evaluations and providing regular ongoing feedback.
3. Service to Church Members
Be visible in church office during office hours and provide warm welcome and friendly atmosphere.
Provide accurate information to members when requested.
After receiving information about visitors, provide same to lay leaders and the pastoral and program staff.
Work with other staff to assimilate new members into the life of the church.
Maintain prayer list and hospitalization records and communicate needs to the pastoral staff.
4. Administrative Support
Provide administrative support to pastors.
Perform office support work. Assist the Communications Coordinator with editing written and electronic communications.
Prepare materials for Session and Deacons meetings. Serve as administrative support for the Clerk of Session and the Buildings and Grounds Committee.
Prepare and oversee mailings.
Maintain church policies manual and operations manual for duties/responsibilities of this position.
Recruit, coordinate, and train volunteers for office support/opportunities as appropriate.
5.Other Responsibilities
Interact positively with church members and fellow staffers.
Stay knowledgeable about overall workings of the church community.
Ensure that the office (particularly the frequently viewed outer office) is consistently clean and well organized.
Seek continuous improvement in skills, particularly technology skills.
Be familiar with all office tasks in order to cover for other staff when needed.
Other special projects or duties as needed or assigned.
Minimum Qualifications
Associate’s degree or higher with formal business training.
Office administrator experience required, with at least 5 years preferred.
Ability to establish and maintain positive working relationships with staff, church members, visitors, volunteers, vendors, and others.
Ability to deal tactfully and compassionately with people.
Strong organizational and administrative skills.
Excellent verbal and written communication skills, with broad knowledge of grammar, spelling, sentence structure and editing.
Ability to work independently and prioritize work.
Ability to handle confidential information.
Advanced experience with computers and Microsoft Office programs.
Is a self-starter and able to multitask without supervision.
Must be reliable, responsible, flexible, adaptable and a team player.
Physical Requirements
Able to use a computer, telephone, and other related equipment.
Able to move throughout the building as needed.
Able to lift office items weighing up to 20 pounds such as boxes of papers and computer components.
