Position Summary, Requirements, and Qualifications

Overview
Northern Illinois University (NIU) ) is accepting applications for the position of Member Services Coordinator for the Recreation Center. This position will work morning/day hours three days per week plus every Saturday/Sunday. This position is a full time 9-month position with benefits, and the work schedule will be from August 16-May 15 of each academic year.

Position Summary
This position provides administrative and front desk support for the division of NIU Recreation Center. This individual must be knowledgeable in the areas of risk management and emergency procedures.

Essential Duties and Responsibilities
Facility Duties
  • Responsible for the overall management of the Recreation Center facility student staff during assigned working hours including hiring, training, scheduling, and corrective action of student employees.
  • Front desk responsibilities include, but are not limited to, register and technology management, equipment, lost and found, and pro shop inventory.
  • Support with oversight of the facility to include, but not limited to, work orders submissions as needed.

Administrative Duties
  • Administrative duties, in support of the Assistant Athletic Director of Facilities Operations, to include, but not limited to, filing, correspondence, database entry, and reviewing and approving payroll.

Customer Relations Duties
  • Communicate and enforce NIU Recreation, University, and NIU Athletics policies and procedures to patrons of the facility.
  • Establish relationships with patrons that will build on new and/or result of renewal memberships.
  • Handle customer service complaints, resolving any conflicts as needed. May require independent judgement for conflict resolution within policies and procedures.

Special Events Duties
  • Coordinate special events held at Recreation Center facilities, including Student Organization late night weekend parties, cheer camps and other facility rentals.
  • Schedule staff, coordinate and supervise facility setup, and be in attendance as the primary Recreation Center contact during events outside normal working hours.

Teaching, Generating Revenue, Strategic Plan
  • Teach a minimum of one CPR/AED and First Aid class per month.
  • Respond to facility emergencies within established guidelines as needed.
  • Assists with marketing efforts to promote revenue generation through facility rentals and memberships.
  • Support of Department and University Strategic Plans.

Other Miscellaneous Tasks
  • Cash handling $500 - $2500. Additional duties as assigned.
  • When practical under the circumstance, intercollegiate athletics staff is encouraged to voluntarily attend all home athletics events to promote audience participation and support for NIU team efforts.

Minimum Required Qualifications (Civil Service)
  1. High School Diploma or equivalent.
  2. Any one or combination totaling two (2) years (24 months) from the categories below:
    • ( A ) College course work in facility management, operations management, or a closely related field, as measured by the following conversion table or its proportional equivalent:
      • 60 semester hours or an Associate's Degree equals one (1) year (12 months).
    • ( B ) Training from a vocational, technical, or an armed forces program which includes building operations such as coordination of building maintenance, construction management, hospitality, or closely related experience.
    • ( C ) Work experience which includes building operations such as coordination of building maintenance and work orders, construction management, hospitality, or closely related experience.

Knowledge, Skills, and Abilities (KSAs) (Civil Service)
  1. Knowledge of principles and processes for providing customer service.
  2. Knowledge of arithmetic, algebra, geometry, calculus, statistics, and their applications, as needed.
  3. Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, data entry, designing forms, and other office procedures and terminology.
  4. Knowledge of electronic equipment, computer hardware and software, and their applications.
  5. Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership techniques, production methods, and coordination of people and resources.
  6. Ability to identify complex problems and review related information to develop and evaluate options and implement solutions.
  7. Ability to understand implications of new information for both current and future problem-solving and decision-making.
  8. Ability to exhibit strong organizational skills and maintain detailed, accurate records.
  9. Ability to communicate effectively as appropriate for the needs of the audience.
  10. Ability to interpret work related documents, policies, and procedures.

  • Minimum two years of experience working in a recreation/based environment.
  • Minimum one year managerial experience with staff oversight
  • Minimum one year experience processing/approving payroll.
  • Experience with recreation software, Fusion as well as Microsoft Office and Teams.
  • Current certifications in CPR, First Aid, AED and Blood Borne Pathogens or the ability to obtain certifications prior to start date.
  • Demonstrated knowledge in the areas of risk management and emergency procedures.
